Refunds and Cancellation Fees
Meeting Registration
- Those who are currently registered will receive full refunds of their AERA Annual Meeting registration fee. We will announce how the registration fee refunds will occur. We will send notices out as updates become available.
- AERA is committed to swiftly processing refunds. Thank you for your patience as we examine options for the most efficient and timely way to address refunds for more than 13,000 registrants as well as affiliated groups, exhibitors, and other partners for the Annual Meeting.
- There are no cancellation fees for the Annual Meeting hotels for those who booked through AERA’s housing bureau (Connections Housing). If you made your reservations through Connections, the reservation has been cancelled for you. If you booked your reservations directly with the hotel or through a third party (e.g., Expedia, Travelocity) you will need to cancel it yourself.
- We are looking into, but cannot control, flight cancellation costs, some of which carry change fees ($200 typically). Airline Travel Information
- We envision that selected professional development courses will be offered virtually. Refunds will be provided to registrants for those courses not broadcast this year or to those who do not wish to participate virtually.
- There are no refunds for membership. AERA works year-round to advance the field, protect it where necessary, and provide positive programming, publishing, and capacity building opportunities for members.
Virtual Conference
- In the coming weeks, AERA will provide detailed information on the AERA website about the virtual meeting.
- It is anticipated that the major lectures and other special features of the invited program, including selected presidential and division-planned sessions, will be available streamed live in real time, and we are in the process of exploring making these sessions available on demand for “attendees.”
- We are exploring and anticipate that presenting authors and symposia presenters will have an opportunity to place their paper in the AERA online paper repository (date and time stamped and assigned a DOI), to upload selected slides or a poster, and to present their work in their own recorded voice.
- We envision that selected professional development courses will be offered virtually. Refunds will be provided to registrants for those courses not broadcast this year.
- We plan to open the virtual conference on April 17, 2020—the originally planned opening day for the Annual Meeting. In the coming days and weeks, you will receive detailed information about the virtual meeting on the AERA website.

- We are hosting a series of “Briefing and Listening Sessions” via Zoom, on Tuesday, March 10, 4:00–5:00 p.m. EDT; Wednesday, March 11, 4:00–5:00 p.m. EDT; and Friday, March 13, 12:00–1:00 p.m. EDT. Instructions on how to join the discussion were emailed to Annual Meeting registrants and participants and are posted on the AERA website.
